The dashboard is the starting point when using Allworkedup, the centre of the system. It's specific to you and tailored to provide all the information you need upon login in one hit.
The project list displays all of the projects that you manage or that you are a member of. The list is ordered by default to show you the project which has had the most recent activity at the top. Each project also gives you some useful statistics, shows you whether you have any unread comments and gives you access to the key features within a project (such as adding a design).
Allworkedup is predominantly about client feedback and facilitating the process of versioning your creative. So displaying a feed of comments in your dashboard seemed to make alot of sense. The feed comprises of the most recent comments from the projects you manage or are a member of with easy access to the comment within the specific project.
Once subscribed you'll want to understand a few things about the account. How many projects have I created? How much storage have I got left? Allworkedup displays this information with an easy to understand graphical approach.
Having subscribed you'll want to brand the system - who wouldn't! Allworkedup gives it's subscribers complete control over the header area of the site. You are able to upload a logo and also a background image/colour to fill that space. Once you have added your branding every project you own will carry your company header.
If you are a design company with multiple employees, you don't want to be restricted to managing projects from one login. Managing projects is something that should be shared. Allworkedup gives you the freedom to appoint account managers who can add and manage projects from your account. One subscription with multiple managers.
Keeping up with projects can be time consuming and sometimes you don't want to have to login to a system to see the latest progress. Alongside the email notification system Allworkedup also offers project coments and updates as RSS feeds both at project and dashboard level.
It's important to be able to take a snapshot of a project at anytime, you might have a business meeting with no internet access, or you might want to simply archive a completed project so you can delete it to free up space. The archive function neatly zips up your comments, designs and files and allows you to download them at any point.
One of the key benefits of using Allworkedup is the in built version control; system. Everytime you update a design (upload a new file or change the background features) then new version is created. all previous versions are archived and kept for reference.
We liked the idea that as a subscriber you could delete a project then bring it back to life if needed. That's something that designers are used to. Deleting a project removes it from your account so that it's not eating up valuable project resources. None of the members can access it but it gives you, it's creator the ability to restore it for a 14 day period.
An absolutely essential part of the system is the way in which your designs are uploaded. We've tried to make this as simple as possible, so instead of the normal preview functions around we have a neat preview on the fly facility which allows you to see what the design will look like in the browser window as you configure where it's positioned, which background colour or image you want to use. It's a real time saver.
The project comment feed is the most crucial part of the system as far as design project management goes. The ability for all project members to leave a general comment or a comment related to a design means that it's easy to gather client feedback and keep up to date. each comment also allows project membrs to easily post a reply to that comment.
A feature of Allworkedup is the ability to mark comments as read or unread. This makes it simple to stay on top of client feedback and to easily see what you have or haven't taken onboard.
Allworkedup allows you to add an unlimited number of members. This means it's simple to add a client to a project, or to form a focus group with multiple users. There's no overhead in terms of your account. The great thing is that as you add members and gain membership to projects then your contact list on Allworkedup grows, so it becomes a useful networking tool for associates and colleagues.
The Allworkedup design viewer is very straight forward - it displays your design without any interference on the screen from the Allworkedup user interface (other than a hide able navigation bar). Presenting your designs is key to creating the best first impressions and the viewer is a great way to do this, as well as offering the user the ability to view and add comments and view previous versions of designs.
Each design offers a bundle of functions for each type of user. As a project member you might want to add a comment about or see the previous versions and as a designer it might be time to update it. The quick nav offers these options from a neat navigation beneath each design.
On the right hand side of every project is a comprehensive list of all the project's designs and every version of those designs. If you can't find a design using the thumbnails at the top of each project page then it's got to be in here!
Upon adding comments or adding/updating a design you want the project members to know. You have the option to notify the users (or not) on an individual basis whenever you take this sort of action.
People manage projects in different ways. Allworkedup gives you the freedom to manage your projects as you'd like. Sometimes people are creatives, sometimes they just want an opinion and sometimes they need to manage a team. It's easy to manage projects members by setting permissions for your them within each project.
Where would a project be without supporting material? Each project therefore allows the members to upload files and to attach files to their comments in the project feed.
Whilst working on a large iDTV project we needed to design and build templates. Lots of them. The system had 10,000+ pages split across dozens of categories. Working with a new platform like Digital TV was was a challenge in itself, but having to get sign-off from to 20+ different managers almost guaranteed nothing would ever get agreed. A simple webpage was created that indexed and linked to each latest design. This instantly resolved any version control issues, creating a perfect platform for presenting our work to the managers, developers and writers; everyone involved in the sign-off process.
Since then, the system has undergone a few updates but its essence has remained the same. Allworkedup is - and always will be - a simple and effective platform for presenting your designs online!
